Under supervision of
the Vice-President (as defined in the Bylaws of the Association), the
Secretary will administer the time-line for the election process and
the Administrative Assistant will administer the confirmation and
voting process.
Phase I: The nomination and confirmation phase (October). First week of October The Secretary announces the start of the nomination and confirmation phase. The announcement will be sent via e-mail to all active members and posted on the Association's website and will include: (a) the slate of open board positions, (b) a call for nominations, (c) instructions on how to make a nomination, (d) contact information for all current board members, (e) contact information for the Administrative Assistant, and (f) the timeline for the election process. Active members in good standing begin making nominations. Second week of October The Secretary sends a notice to the general membership and posts notice on the Association's website that the nomination phase will close in three weeks. As Board Members notify the Administrative Assistant of nominations, the Administrative Assistant confirms that each nominee is a member in good standing and contacts each nominee in order to (a) confirm the acceptance of the nominee to run and serve if elected, and (b) to secure the nominee's Nominee Questionnaire. Third week of October The Secretary sends a notice to the general membership and posts notice on the Association's website that the nomination phase will close in two weeks. Fourth week of October The Secretary sends a notice to the general membership and posts notice on the Association's website that the nomination and confirmation phase will close at midnight on the last day of October. Each nominee will submit to the Administrative Assistant a completed nominee questionnaire. Nominee questionnaires are due five days before the open of the voting phase. The Administrative Assistant and webmaster will collect and compile nominee statements into a single document. Phase II: The voting phase (November) First week of November The Secretary sends a notice to the general membership and posts notice on the Association's website that the voting phase is open. Included in the message is a link to the on-line voting website. Included on the voting website are the summary statements from all nominees with information on how to view each nominee's questionnaire. Second week of November The Secretary sends a second notice to the general membership and posts notice on the Association's website that the voting phase is in order. Included in the message is a link to the on-line voting website. Third week of November The Secretary sends a third notice to the general membership and posts notice on the Association's website that the voting phase is in order. Included in the message is a link to the on-line voting website. Fourth week of November The Secretary sends notice to the general membership and posts notice on the Association's website that the voting phase will close at midnight the last day of November. Close of the voting phase (December). (1) The Secretary sends notice to the general membership that the voting phase is closed. (2) The Association's Webmaster posts a notice on the website that the voting phase is closed and removes the election slate and the text of the compiled nominee statements. (3) The Webmaster compiles results from membership voting and reports those results to the Vice-President. (4) The Vice-President verifies the results and notifies newly elected members to confirm his/her intent and committment to attend the pre- and post-conference spring board meetings as well as the annual fall board meeting. (4) The Vice-President reports the results of the election to the Secretary.
